Job Description

  • Serve as primary point person to answer main telephone line incoming office calls.
  • Greet and seat all visitors to CTC, serve drinks, take care of parking stickers/receipts, etc.
  • Reserve all meeting rooms for any meeting in the Trust Office area.
  • Prepare and distribute Cash Sheet Reports daily to all Relationship Managers.
  • Prepare and distribute monthly Asset Lists and Accounts Pledged reports to Central Bank Employees as needed.
  • Maintain and order all office supplies, kitchen supplies, cleaning supplies, coffee, water, business cards, stationary as well as any printer or appliance maintenance as needed.
  • Distribute Birthday greetings for all employees.
  • Maintain vacation calendar for accuracy and coordination of coverage for associates when they may be on vacation or away at client meetings for an extended period of time.
  • Responsible for File Room order and maintenance including the sending materials to offsite secure storage for long term handling.
  • Responsible for the filing of all original documents in the vault or future fee files and upholding proper filing system for organization and accuracy.
  • Assistant to Market Executive. Assisting with answering calls, making appointments or organizing staff meetings where applicable.
  • End of business day office closing responsibilities include locking vault and mail room each night.
  • Retrieving and sorting daily incoming mail and correspondence, as well as preparing outgoing mail at the end of each day (to include FedEx, UPS or other courier services if needed).
  • Preparing internal courier bag for pick up each day.
  • Assistant for up to two business development officers. Responsibilities include preparing presentation books, correspondence, mailings and expense reports.
  • Assistant for the Financial Planning Officer or Private Banking staff, as needed, to help with preparing materials, meetings, etc.
  • Plan and execute all client, networking or staff appreciation events. Work with external vendors and caterers to ensure quality and success of events.
  • Attend all client events to help greet clients as well as oversee catering staff for delivery of services.
  • Choose, order and distribute all client holiday cards and gifts.
  • Be able to serve as a back-up to the Investment Assistant to help with the preparation of investment presentation booklets, as needed, when the Investment Assistant is unavailable to perform such task.


  • High School Diploma or GED Certificate (some college preferred).
  • 2 to 3 years of related experience or training.
  • Knowledge of estate planning and investment terms are helpful.
  • Attention to detail and proficient organizational skills critical.
  • Ability to read and interpret operating instructions and policy and procedure manuals.
  • Strong professional communication skills, both verbal and written.
  • Capable of drafting grammatically correct correspondence.
  • Working knowledge of Microsoft Office, including Microsoft Word and Excel.
